Review Reputation Dashboard

Check patient feedback trends and recent reviews.

Review the reputation dashboard to understand patient feedback, ratings, and follow-up status.

The dashboard combines feedback submitted through the OTP-authenticated patient portal and the independently configured lobby kiosk.

Who does this: Any clinic team member with access to the organization.

Steps

Open Reviews from the main menu.

Review the Reputation summary at the top of the page.

Use Date Range: to choose the reporting window.

The range can include up to 366 calendar days. Choosing a valid new range automatically loads a saved AI summary for those exact dates or generates one when needed. Read-only team members can view saved summaries but cannot generate or refresh them.

Review Rating over time and How patients feel for trend changes.

Check Delivery status to see how many feedback requests were sent, opened, and submitted.

Use Latest reviews to switch between all reviews, patient feedback, and Google reviews. Select View recent reviews for the complete list.

Latest reviews always shows the clinic's newest reviews and does not change with the reporting range. The other dashboard metrics, trends, and matching AI summary use the selected period.

Review Provider feedback and Common topics for recurring strengths or concerns.

On wide screens, these cards use both columns to avoid unused space. On smaller screens, they appear in one vertical list.

Administrators can select Unpublish on a patient review to remove it from the clinic's public site, or Publish to restore it. Confirm the change in the dialog.

The button appears only on feedback the patient explicitly approved for public publication and that currently qualifies as a public quotation. Google reviews cannot be hidden this way. Unpublishing hides the quotation and reviewer display information; it does not revoke the patient's consent, so the consented rating still contributes to the public rating and count. The complete response remains available to authorized staff on the dashboard.

Tip: Change the date range before comparing provider or rating trends.

AI summaries analyze a bounded sample of the newest eligible patient feedback and Google reviews. When either source has more eligible reviews than the sample allows, the summary identifies that its coverage is limited and applies its trends only to the analyzed sample.

Troubleshooting

The dashboard looks empty. Choose a wider date range, then check whether feedback requests have been sent.

A recent comment is missing. Check the Latest reviews filter. This list is based on recency rather than the selected reporting range.

A patient review is missing from the clinic's public site. Check its clinic-site status badge in Latest reviews.
